This policy applies to the website flyhire.me, the customer portal app.flyhire.me and the application pages operated through FlyHire (bewerbung.flyhire.me and customer domains).
2. Website flyhire.me
Hosting and server log files
The website and our services run on servers of netcup GmbH, Emmy-Noether-Straße 10, 76131 Karlsruhe, Germany. When a page is accessed, the web server stores technically necessary information: IP address, date and time, requested address, status code, amount of data transferred, referrer and browser identifier. This serves the secure and stable operation of the website (Art. 6(1)(f) GDPR). The log files are deleted regularly and are not combined with other data. We have concluded a data processing agreement with netcup.
Example places by region
So that the examples on the homepage show places near you, our server roughly determines country and region from the IP address. For this we use a database from DB-IP that is stored on our own server. No request is sent to third parties and nothing is stored (Art. 6(1)(f) GDPR).
Fonts
All fonts are loaded from our own server. There is no connection to Google or any other font provider.
Cookies and tracking
The website does not set any cookies and does not use any analytics or tracking tools.
Booking a call
The “Book a call” link leads to zeeg.me (zeeg GmbH). Only when you book an appointment there does zeeg process your details, in accordance with its own privacy policy; we receive your name, email address and the appointment in order to hold the call (Art. 6(1)(b) GDPR).
Contact by email
If you write to us, we process your details in order to answer your enquiry (Art. 6(1)(b) or (f) GDPR) and delete them once they are no longer needed and no retention obligation applies.
3. Customer portal app.flyhire.me
For employees of our customers, we process name, email address, company affiliation, role and login data, as well as the content created in the portal. This is necessary to perform the contract with the customer (Art. 6(1)(b) and (f) GDPR). Only what is technically necessary for logging in is stored in the browser.
We use the following service providers for this:
- Supabase (Supabase Inc., USA) for login,
- Resend (Resend Inc., USA) for sending emails such as invitations and notifications,
- Stripe (Stripe Payments Europe Ltd., Ireland) for payments and invoices,
- Meta (Meta Platforms Ireland Ltd., Ireland) via the Marketing API, to run and evaluate our customers’ ads.
To create ad copy, images, videos and voice recordings, we use AI services from Google (Gemini API, Google Ireland Ltd.) and Replicate (Replicate Inc., USA). These services receive job ads and information about the job, not applicant data.
4. Application pages
On the application pages we operate for staffing agencies, the respective staffing agency is the controller for the application data; it is named on the page and links to its privacy policy. We process this data on its behalf under our data processing agreement (Art. 28 GDPR), store it and transfer it to its applicant tracking system.
Ad measurement with Meta
So that the ads on Facebook and Instagram reach the right people, we use the Conversions API, on behalf of the staffing agency, to report to Meta that an application has been received and how it progressed afterwards. In doing so, we transmit email address, phone number, first name, last name and postcode only as a hash value (SHA-256), together with the IP address, browser identifier and the ad’s click identifier. Meta matches these values against its own user accounts and uses the result to deliver and evaluate the ads; Meta Platforms Ireland Ltd. is jointly responsible for this together with the advertiser. The legal basis is the staffing agency’s legitimate interest in effective advertising for its jobs (Art. 6(1)(f) GDPR). You can object at any time, either to the staffing agency or to us at the address above. Information on processing by Meta: facebook.com/privacy/policy.
The application pages do not set any cookies and do not load a Facebook pixel in the browser.
5. Transfers to third countries
We are a company based in the USA, as are some of our service providers. Transfers to the USA are based on the EU-US Data Privacy Framework where the recipient is certified, and otherwise on the European Commission’s Standard Contractual Clauses (Art. 45, 46 GDPR).
6. Storage period
We store personal data for as long as it is needed for the respective purpose. We delete application data in accordance with the instructions of the responsible staffing agency, and contract and invoice data after the statutory retention periods have expired.
7. Your rights
You have the right of access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and to object to processing based on legitimate interests (Art. 21 GDPR). To exercise these rights, contact the email address above. You may also lodge a complaint with a data protection supervisory authority, in particular in the member state in which you live or work.
